This policy explains what personal data we process, for what purpose, on what legal basis and how you can exercise your rights.

What data we process and where it comes from

We only process the data you give us yourself:

• Newsletter: your email address and, if you provide it, your name.
• Enquiries: whatever data you include when you write to our email addresses.
• Open calls and residencies: the data in your application, collected through the forms linked from each open call.
• Technical data: the records the server generates when serving pages (IP address, date and time, pages requested), kept for security and troubleshooting.

This website installs no analytics or advertising cookies, so we do not build browsing profiles. You can read the detail in our cookies policy.

What we use it for, and on what legal basis

• Sending you the newsletter with the centre’s programme and open calls. Legal basis: your consent, given when you subscribe and confirm, and withdrawable at any time.
• Answering your enquiries and keeping up any contact arising from them. Legal basis: your consent and our legitimate interest in replying to those who write to us.
• Handling applications to open calls, residencies and programmes. Legal basis: pre-contractual steps taken at your request.
• Keeping the site secure and running. Legal basis: our legitimate interest in protecting the website against misuse.

Mailchimp: how we run the newsletter

Newsletter subscriptions are handled with Mailchimp, a service of The Rocket Science Group LLC (an Intuit Inc. company), based in Atlanta, United States. When you subscribe from this website, your email address and name are stored in our list hosted by Mailchimp, which acts as a processor on our behalf.

Subscription is double opt-in: after leaving your email you receive a message asking you to confirm, and you are only added to the list if you do. Mailchimp records the date and IP address of that confirmation as evidence of consent, and may record whether you open our emails and click their links, in order to measure how they perform.

You can unsubscribe at any time from the link at the bottom of every email, or by writing to info@espronceda.net. Unsubscribing is immediate and does not affect the lawfulness of processing carried out beforehand.

Who else processes your data

We do not sell your data and we do not pass it on to third parties for advertising. It is only accessed by the providers we need in order to operate, always under a data processing agreement:

• Mailchimp (The Rocket Science Group LLC, Intuit Inc.), to send the newsletter.
• Our hosting provider, which keeps the server the site runs on.
• Google, when an open call uses a Google form to collect applications, and when you play a video hosted on YouTube.

We will also disclose data to public authorities and courts where a legal provision requires us to.

International transfers

Mailchimp and Google are established in the United States. Transfers to that country rely on the EU-U.S. Data Privacy Framework, to which both providers are certified, and additionally on the standard contractual clauses approved by the European Commission.

How long we keep it

• Newsletter: for as long as you remain subscribed. If you unsubscribe, we keep a record of that for as long as needed to avoid writing to you again.
• Enquiries: for the duration of the exchange and, afterwards, for the period needed to handle any liability.
• Applications: during the selection process and the running of the corresponding programme.
• Server logs: for the period needed to keep the site secure.

Your rights

You may at any time exercise your rights of access, rectification, erasure, objection, restriction of processing and portability, and withdraw any consent you have given. To do so, write to info@espronceda.net stating which right you wish to exercise; we may ask you to prove your identity.

If you believe we have not dealt with your request properly, you may lodge a complaint with the Spanish Data Protection Agency (www.aepd.es, C/ Jorge Juan 6, 28001 Madrid).

Minors

The services on this website are aimed at people over 14. If you are younger, you need your parent’s or guardian’s authorisation to subscribe to the newsletter or send us your data.

Security

We apply reasonable technical and organisational measures to protect your data against loss, misuse and unauthorised access, including an encrypted connection (HTTPS) across the site and restricted access to contact lists.

Changes to this policy

We may update this policy when our processing activities or the applicable legislation change. Any change will be published on this page.
